NAVIGATING THE FINANCIAL AID PROCESS

  • Preparation

    • Know your deadlines—for submitting your applications for federal, state, and institutional aid. Submit your FAFSA as soon as you can after October 1.
    • Set aside time—the FAFSA can take some time to prepare for and complete. Make sure you allow enough time in your schedule to complete the FAFSA by your financial aid deadlines. 
    • Gather your documents—before you begin the FAFSA, gather the necessary paperwork. Having the right information on hand makes completing the FAFSA easier. View documents you will need
    • Create an FSA ID—to submit your FAFSA online you will need to create an FSA ID with a username and password. This will allow you to confirm your identity when accessing your financial aid information and when signing Federal Student Aid documents. Create an FSA ID
    • Look for scholarships and grants from the state of Indiana, from Ivy Tech, as well as national and community organizations.
    • Research programs funded by the Indiana government, such as Next Level Jobs, to see if you qualify.
  • Review your Admissions and Student Status

    • Make sure you are admitted into a degree or certificate program. You must be fully admitted before your financial aid can be processed.
    • Courses Only (CO), Diploma (DIPL), and Apprenticeship students are not eligible for loans and most grants.

    The most important first step you should take when figuring out how to pay for college is to fill out the Free Application for Federal Student Aid, or FAFSA. This form will determine your eligibility for financial assistance like federal loans, grants, work-study benefits, and even some merit aid. The form can be completed online. To maximize your aid opportunities, complete the FAFSA when you apply for admission to the college as some aid is distributed on a first-come, first-served basis.

  • View Requirements in MyIvy

    MyIvy Tools - Financial Aid RequirementsCheck your Ivy Tech student e-mail account for notifications about the required submission of forms. You can also monitor financial aid requirements MyIvy. To do this, log into MyIvy, click on the Tools & Resources tab, then click on Financial AId Requirements. Be sure you turn in all required financial aid forms to prevent delays. 

    Verification

    It is not unusual for additional information to be required in order to determine a student's eligibility for aid. This process is known as verification. Students selected for verification will be required to submit documents and financial forms before aid can be processed or disbursed. You will find verification requirements listed on your MyIvy financial aid page. A financial aid application cannot be considered until all documentation requirements are met.

    Financial Aid Holds

    Review any Financial Aid Holds that may prevent payment of awards.

    Financial Aid Authorizations

    Complete Financial Aid Authorizations by clicking on the Financial Aid tab in MyIvy if you wish to use your grant/loan funds to pay bookstore charges and other college fees.

    Corrections

    If a correction was made to your FAFSA during the verification process, we will receive your updated FAFSA within 7 days. Once we have the updated FAFSA, your file will be reviewed again to make sure all information has been updated. This subsequent review will take up to 10 business days. If any additional information is needed after this subsequent review is complete, you will be notified at your Ivy Tech email address.

  • Once your financial aid has been finalized, an electronic award letter will be sent to your Ivy Tech email address. Subsequent communications regarding your financial aid will come via your MyIvy account and your Ivy Tech e-mail account.

    Viewing Your Financial Aid Award

    You can view your financial aid award in MyIvy.To do this, log into MyIvy, click on the Tools & Resources tab, then click on Financial Aid Awards.

    Decide whether you will accept the full amount, partial amounts, or none of the federal and/or alternative loans offered to you. You must accept your loan awards or they will not be processed. If you qualify for the Pell Grant or other scholarships or grants they will automatically be accepted for you.

    How to Accept or Decline Loans

    • From the Financial Aid Awards screen, select the appropriate aid.
    • View your loan offer on ACCEPT AWARD OFFER.
    • Accept or Decline the loan. If you do not want the full amount of the loan offered, you have the option of choosing a lesser amount.
    • Complete the student loan entrance counseling and Master Promissory Note. The Master Promissory Note (MPN) is a legal document in which you promise to repay your loan(s) and any accrued interest and fees to the U.S. Department of Education. It also explains the terms and conditions of your loan(s).

    Increasing the Amount of an Accepted Loan

    If you need to increase your requested loan amount, complete a Federal Direct Student Loan Request. Once the request has been submitted to the Financial Aid office, your loan will be re-offered to you (if you are eligible) within 14 days, and you can accept all or a portion of it on MyIvy.

    Repeat Courses

    Previously-passed courses (with grades of B-C-D) can be repeated ONCE with financial aid. After one repeat, the course is not covered by financial aid.

  • Monitor Your Status

    You are responsible for monitoring your status, including your academic progress required for federal financial aid.

    Check your admission, registration, and financial aid status on MyIvy frequently and check for notifications on your Ivy Tech student e-mail account.

    Drops or Withdrawals

    Dropping or withdrawing from a class can result in aid adjustments prior to disbursement or the need to return aid funds after disbursement. Students are encouraged to talk with Financial Aid before deciding to drop or withdraw from a class.

FREE APPLICATION FOR FEDERAL STUDENT AID

The FAFSA is the Free Application for Federal Student Aid and is the only way to apply for federal student aid. Ivy Tech will use your FAFSA application to evaluate your financial need and determine how much federal aid, state aid, and aid from Ivy Tech you are eligible to receive.

  • Submitting the FAFSA is the most important thing you can do if you want financial aid.
  • The FAFSA is free—you don’t need to pay anyone to prepare it for you.
  • Make sure you fill out and submit the FAFSA each year are in college. If you plan to apply for aid throughout college, you’ll need to fill out the FAFSA every year.
  • The FAFSA asks for information about you and your family’s finances, including tax returns. You may be able to automatically retrieve your tax information from the IRS.
  • Be sure to use a permanent email address on the form, not your high school email, so you can use your FAFSA account throughout college.

FAFSA FILING DEADLINES

Each October, the FAFSA is available for the next school year. You can file as early as October 1. It’s a good idea to submit the application as soon as possible because some financial aid is given out on a first-come, first-served basis.

There are three types of FAFSA deadlines:

  • Ivy Tech deadlines: Ivy Tech has established a list of priority filing deadlines that ensure you receive your financial aid before the first day of classes. View the priority filing deadline chart below.
  • State deadlines: Indiana's FAFSA deadline for applying for aid from the state is April 15.
  • Federal deadline: Federal aid will be considered year-round, no matter what date you file your FAFSA. June 30 is the last day you can apply for federal aid for the following academic year.

Federal Eligibility Requirements

Most people qualify for some form of federal aid. The U.S. government has a set of criteria to determine who is eligible for financial aid. In addition to demonstrating financial need, you’ll need to:

  • Have a high school diploma or a recognized equivalency, such as a GED, or have completed a state-approved home-school high school education

  • Be a U.S. citizen or an eligible noncitizen with U.S. national status, or have a green card, an Arrival/Departure Record (I-94), battered immigrant-qualified alien status or a T visa or a parent with a T-1 visa

  • Have a valid Social Security number

  • Be enrolled or accepted for enrollment in an eligible academic degree or certificate program

Even if you don't think you're eligible for federal aid, it's still worth taking the time to apply—which is about 30 minutes.

State Aid

State aid is financial assistance that a state—in our case, Indiana—offers to eligible residents to help reduce their educational costs. State aid often consists of grants and scholarships that have individual eligibility requirements. For example, Next Level Jobs is a program funded by Indiana's Workforce Ready Grant and has specific eligibility requirements.

To be eligible for most state aid, Indiana requires students to fill the Free Application for Federal Student Aid (FAFSA®) form. Indiana's FAFSA deadline for applying for aid from the state is April 15. Some state aid is first come, first served, so complete your FAFSA form early to maximize your eligibility.

Institutional Aid

Institutional aid is financial assistance provided by the college or university you plan to attend—in our case, Ivy Tech. The most common types of institutional aid at Ivy Tech are grants and scholarships.

Each Ivy Tech grant and scholarship has its own eligibility requirements, which may include citizenship or residency. Available Ivy Tech scholarships and grants also vary from campus to campus. In general, to be eligible for any institutional aid from Ivy Tech, you must file the FAFSA form each year. 

Private Aid

Private aid is any financial assistance not awarded by the U.S. government, Indiana, or Ivy Tech Community College, such as a scholarship provided by a business, community organization, or foundation. Private funding can be found in your local community and nationwide. Every source of private aid will likely have a unique application process with unique eligibility requirements, so you'll need to do some research to find opportunities that fit your situation. Examples of eligibility requirements include financial need, academic performance, affiliation with a special interest or organization, or affinity with a cause.

How "Need" is Calculated

Most financial aid is awarded on the basis of "need", or the gap between a student’s cost of attendance (COA) and the "expected family contribution" (EFC). The cost of attendance includes tuition and fees, plus estimates of books, living expenses, and transportation costs. The expected family contribution is an amount calculated according to a federal formula that determines, based on information from your Free Application for Federal Student Aid (FAFSA), how much you (and your family) should be able to pay toward the cost of attendance.

If a student is not "independent" as defined by federal regulation (at least 24 years old, married, supporting dependents, is a veteran, or meets other criteria), the EFC is based in part on information from the student’s parents, even if the student is self-supporting. A student cannot be considered independent just because parents refuse to provide their information on the FAFSA.

Satisfactory Academic Progress (SAP)

If you receive Title IV federal financial aid to pay for college, you must maintain satisfactory academic progress (SAP) in order to retain your financial aid eligibility. Failure to follow these important requirements will result in loss of the financial aid you may be receiving, which may mean you will not be able to complete your college education goals.

Satisfactory Academic Progress is mandated by federal regulation and includes cumulative GPA, cumulative Completion Rate, and Maximum Time Frame. Dual credit courses are included in these calculations. Students who do not meet standards have one semester of warning before financial aid is terminated. If a student successfully appeals the aid termination, aid is reinstated with the condition that they meet the terms of their Academic Completion Plan (ACP). Failure to meet the terms of the ACP may result in financial aid SAP termination with no further option to appeal.

IVY TECH PRIORITY PROCESSING DATES

To ensure you receive financial aid before your first day of classes, you must complete your Ivy Tech application and submit your FAFSA (including all requested forms and verification paperwork) by the priority processing dates listed below. Students who have all of their financial aid requirements completed by the bookstore priority dates below will have their aid available to use at the bookstore the first day it opens.

To apply for financial aid, submit a Free Application for Federal Student Aid (FAFSA). Plan to begin the financial aid application process at least 3-4 weeks before the priority processing date (for example, in early June for the fall semester). You may apply for federal financial aid throughout the year, but meeting the priority date gives Ivy Tech the necessary time to award your financial aid by the start of the semester. If the semester priority processing date is missed, your application will still be accepted and processed. although aid may not be available by the beginning of classes.

Special Circumstances Review: 

We understand that there may be situations when a student's true financial situation is not fully reflected by the questions on the FAFSA. These students may be considered on a case-by-case basis for a Special Circumstances Review.

Reasons that MAY be considered for a Special Circumstances Review:

  • Loss of employment
  • Loss of other income
  • Death of student's spouse (or dependent student's parent)
  • Unusual expenses (such as medical costs)

Reasons that CAN NOT be used for a Special Circumstances Review:

  • Charitable giving
  • Vacation expenses
  • Tax bills
  • You already qualify for the maximum Pell Grant and loan amounts ("zero EFC")

If you feel you have an extreme situation that may allow for a Special Circumstances Review, visit your campus Financial Aid office to determine if you should complete the Special Circumstances Review form . The Financial Aid office will review your situation with you and determine what documentation you will need to submit to support your request for this review.

Unusual Circumstances Review: 

We understand that there may be situations when a student does not meet the federal financial aid requirements to be considered independent on the FAFSA and yet may not be able to provide parent information. These students may be considered on a case-by-case basis for a Review.

Reasons that MAY be considered for a Review

  • Abandonment by parents
  • Abusive family environment that threatens your health or safety
  • Parents location is unknown
  • Other extreme situation with documentation

Reasons that CANNOT be used for a Review

  • Parents refuse to contribute to your education
  • Parents are not willing to provide information on the FAFSA or for verification
  • Parents do not claim you as a dependent for income tax purposes
  • You fully support yourself financially

Note: The unwillingness of your parent(s) to provide the information requested on the FAFSA or by the Financial Aid Office or the unwillingness to financially support you is NOT an acceptable reason to appeal your dependency status.

If you feel you have an extreme situation that may allow for a Review, visit your campus Financial Aid Office to determine if you should complete the Unusual Circumstances Review Form. The Financial Aid Office will review your situation with you and determine what documentation you will need to submit to support your request for a Review.

FAFSA

Information from your most recent FAFSA will be used to determine your financial aid eligibility for the summer semester. If you have already filed the FAFSA for the current academic year, you do not need to re-file. If you need to add Ivy Tech to your FAFSA, our school code is 009917.

State Aid

Students who did not receive their full annual award amount during the previous fall and spring semesters may be eligible to receive the remaining balance of certain awards in the summer. This includes guest students who are not degree-seeking at Ivy Tech during the summer. If you began receiving your annual award in the spring semester, you may request to use a portion of the remaining balance in the summer (instead of the upcoming fall semester) by completing a Summer State Aid Request form. Contact your campus Financial Aid office for details.

Guest Students

Guest students who are not degree-seeking but taking classes at Ivy Tech in the summer are not eligible for most types of financial aid. Payment plans are available for your tuition and fees if needed. However, if you did not receive your full annual award amount during the previous fall and spring semesters, you may be eligible to receive the remaining balance of certain awards during the summer semester. Contact your campus Financial Aid office for details.

Registration

Once you have registered for summer semester classes, your campus Financial Aid office will review your eligibility for summer financial aid within 14 days. Updates will be posted on MyIvy in the Financial Aid area.

Credit Hour Requirements

Credit hour requirements for summer semesters are the same as for fall and spring semesters. Students must be enrolled at least half-time in order to receive a loan.

  • 12 credit hours and more = full-time
  • 9-11 credit hours = three-quarters time
  • 6-8 credit hours = half-time
  • 1-5 credit hours = less than half-time

Federal Loan Request

If you have loan eligibility remaining for the aid year and need to use it in the summer, you can complete the online Federal Direct Student Loan Request form (this form is not required for any other type of financial aid). Loan requests can take up to 14 days to process. Learn more

Priority Processing Deadline

To ensure your awards are processed by the start of summer classes, students must apply AND submit all requested forms, including verification and/or loan requests to the Ivy Tech Financial Aid office by the May 1 priority date.

A tax credit reduces the amount of income tax you have to pay. You may be more familiar with deductions, which reduce the amount of income subject to tax; however, a credit directly reduces the tax itself.

American Opportunity Tax Credit

The American opportunity tax credit (AOTC) is a credit for qualified education expenses paid for an eligible student for the first four years of higher education. You can get a maximum annual credit of $2,500 per eligible student. If the credit brings the amount of tax you owe to zero, you can have 40 percent of any remaining amount of the credit (up to $1,000) refunded to you.

The amount of the credit is 100 percent of the first $2,000 of qualified education expenses you paid for each eligible student and 25 percent of the next $2,000 of qualified education expenses you paid for that student.

Lifetime Learning Credit

The lifetime learning credit (LLC) is for qualified tuition and related expenses paid for eligible students enrolled in an eligible educational institution (Ivy Tech is eligible). This credit can help pay for undergraduate courses, including courses to acquire or improve job skills. There is no limit on the number of years you can claim the credit. It is worth up to $2,000 per tax return. he lifetime learning credit may be limited by the amount of your income and the amount of your tax.

If a problem or dispute regarding your federal education loan(s) arises, you can submit a complaint (about an issue, suspicious activity, or scam).

If your complaint cannot be resolved through reasonable efforts, you may contact the Federal Student Aid Ombudsman as a last resort. The U.S. Department of Education's Ombudsman office can propose solutions that may help you and other parties come to a final agreement. Before you call, make sure you have good records of the people you've talked to and what they've said. Learn more

The actual amount of a student’s financial aid usually depends on enrollment status (full-time, 3/4-time, half-time, less than half-time) at the end of the 100% refund period.

Students who have not participated in a course by that date will be promptly reported as a "no-show" so that the appropriate amount of financial aid is disbursed. Simply logging in to an online course does not constitute "participation."

Your enrollment status is determined by the number of credit hours you are taking in a semester.

Once you graduate, stop attending, or are no longer enrolled in at least 6 credit hours, you will be required to complete Direct Loan Exit Counseling, even if you plan to transfer to another school or return to Ivy Tech Community College in a future semester.Exit Counseling explains your responsibilities for repayment of your Direct Loan and provides information on how to manage your student loans.

Free Application for Federal Student Aid The Free Application for Federal Student Aid (FAFSA) is the core document necessary to apply for all types of student financial aid available through the state and federal governments as well as the colleges and universities.
