Education, Experience, and Other Requirements:

  • Bachelor's degree in education, psychology, counseling, social work, or related fields. Master's preferred.

  • Minimum of three (3) years of experience in academic advising, admissions, career counseling or related higher education area is required or one (1) year of experience with a Master's degree.

  • Experience working with and being committed to diverse communities is required.

  • Excellent communication and time management skills, as well as the ability to demonstrate initiative and working in a team environment is required.

  • Working knowledge of word processing, spreadsheet, email, and database applications including student records management systems and online social media tools.

  • Administrative and organizational skills along with strong customer service attributes are necessary.

Assistant Director of Marketing

The Assistant Director of Marketing combines skills in marketing, content creation, strategic communication, and customer service to foster meaningful student engagement practices, branded social media and digital experiences between the college and prospective and continuing students, maximizing their likelihood to enroll and retain at Ivy Tech Community College. RESPONSIBILITIES

  • Develop brand social media content (writing, photography, videography, basic graphic design) focused on the prospective student and parent audience as well as continuing students.

  • Coordinate and assist with developing creative concepts and strategies to encourage user engagement across the board and drive enrollment and retention goals.

  • Create and curate marketing content specifically optimized for social media across multiple platforms including Facebook, Instagram, YouTube, Snapchat, TikTok, LinkedIn, etc.. Content will include, but not be limited to photos, gifs, infographics, captions, podcasts and short videos. Identify opportunities for social media platform expansion.

  • Curate admission and retention social media calendar.

Manage all elements of the designated academic program, including enrollment management, program administration, instructional quality, and human resource management ensuring coordination with academic and non-academic departments. ESSENTIAL FUNCTIONS

INSTRUCTION

  • Deliver assigned classes using pedagogy and technology that best support student learning, and in accordance with college loading policy, course objectives and program learning outcomes.  
  • Develop and maintain curriculum and supporting course materials in keeping with and furtherance of course objectives and program learning outcomes. 
  • Maintain student records, attendance, grades, and other documentation as required. Manage a classroom environment conducive to student learning and in adherence to federal, state, and college safety standards and practices.

RETENTION AND STUDENT SUCCESS

  • Provide academic-related coaching and academic monitoring to assigned student advisees in partnership with professional academic advising staff. 
  • Monitor and document student performance throughout the semester, including use of technology for academic advising alerts; provide necessary interventions to include communication with students, tutoring and other academic supports, and referrals to appropriate college resources. 
  • Maintain posted office hours and student engagement hours in accordance with regional expectations and the faculty loading policy in the Academic Support and Operations Manual (ASOM 07.02.00).  
  • Promote and assist in student recruitment, retention, and successful completion of programs, including outreach to students by phone, technology tools, and other electronic means. 

PROFESSIONAL DEVELOPMENT

  • Participate in professional development activities that may include scheduled training, time spent onsite in related business and industries, and self-study to advance instructional and technical skills as well as current knowledge within the field of study. 
  • Participate in scholarly activities related to the discipline/focus, in fulfillment of annual performance plans, and as required for certification and licensure. 
  • Stay current in contemporary pedagogy, digital technology, and other technology related to teaching that best support student learning. 

COMMUNITY RELATIONS AND BUSINESS OUTREACH

  • Participate in community service activities on behalf of the college to advance the college’s relationships within its service area as appropriate for department/division/college.  
  • Develop community/industry/business contacts to advance college relationships within service area as appropriate in the department and division. 

INSTITUTIONAL SUPPORT

  • Provide institutional support as requested by college administration such as participation on committees and task forces, projects related to college and program accreditations, and grant-related projects.

  • Attend commencement and participate as assigned by regional administration.

ENROLLMENT MANAGEMENT

  • Review and analyze program data as related to completion and retention.

  • Assure quality of discipline-specific dual credit courses within the local high schools. See ASOM 04.03.00 – Credit Transfer Awarding/Dual Credit for listing of specific responsibilities. 
  • Create course schedules conducive to student learning and student access, in consideration of the needs of Corporate College; and maximizing utilization of existing classroom and laboratories. 

PROGRAM ADMINISTRATION

  • Complete annual Program Review, which includes analysis of trend data and resources. 
  • As appropriate, engage internally and externally with employers and other economic sector experts, deans, vice presidents, and as a member of the statewide curriculum committee to ensure alignment of quality, relevant, and market-driven curriculum. 
  • Maintain office administrative hours in accordance with the faculty loading guidelines in ASOM 07.02.00 – Faculty Job Descriptions and Loading. 
  • Coordinate program advisory committees and assure broad-based membership and participatory agendas.

HUMAN RESOURCE MANAGEMENT

  • Coordinate recruitment, evaluation, and development of full-time and adjunct faculty with Human Resources and the Vice Chancellor of Academic Affairs (or designee).

MINIMUM QUALIFICATIONS: Must have strong working knowledge of current technologies appropriate to area of instruction, faculty credentials per ASOM 07.01.00 for a discipline assigned, academic leadership and management skills. 

The director of the program must:

  • Be an initially certified occupational therapist or occupational therapy assistant who is licensed or otherwise regulated according to regulations in the state of Indiana.
  • Hold a minimum of a master’s degree awarded by an institution that is accredited by a USDE-recognized institutional accrediting agency.
  • Have 5 years of documented experience in the field of occupational therapy. This experience must include:
    • Clinical practice experience as an occupational therapist or occupational therapy assistant.
    • Administrative experience including, but not limited to, program planning and implementation, personnel management, evaluation, and budgeting.
    • Scholarship (e.g., scholarship of application, scholarship of teaching and learning).
    • Understanding of and experience with occupational therapy assistants.
    • 3 years of experience as a faculty member with teaching responsibilities at the postsecondary level.
  • The academic and experiential qualifications and backgrounds (identified in documented descriptions of roles and responsibilities) that are necessary to meet program objectives and the mission of the institution.
  • Documented current expertise in their assigned area(s) of teaching responsibility and student advisement, including knowledge of resources for student well-being.
  • Effectiveness in teaching and evaluation of student learning.

The Office Coordinator – Resource Development is responsible for the integrity of the data that supports regional fundraising (Raiser's Edge); the compliance of the Development Office with Foundation and College financial and administrative policies and procedures; the administration of certain Foundation-based programs; and the logistics of events and activities related to donor cultivation, donor recognition, stewardship of gifts, and alumni affairs.
The Development Office & Campus Events Coordinator also performs the financial accounting for the department, assists in designing and implementing acquisition, cultivation and stewardship programs (involves direct interaction with key donors), may be the primary contact for certain prospects and donors and may secure gifts, oversee the Foundation's role in scholarship administration, hires and supervises an intern and work-study student, and provides data and analysis for fundraising budget. Also serves as assistant to the Executive Director of Resource Development.
With minimal on-site supervision, answer incoming calls to the College. Take messages as needed and appropriate.

Major Responsibilities:

Maintain data about prospects, alumni, and donors in Ivy Connect.
Maintain data and information in Ivy Connect about the activities of the Executive Director and Development Director.
Perform mailings and other communications related to annual and internal fundraising campaigns. Maintain data and information in Ivy Connect about development events.
Process gifts, pledges, payroll deductions and related communication to donors.
Process requests for payments from the Foundation and reconcile credit card report. Process requests for reimbursement to various college departments from Foundation funds.
Perform reconciliations necessary to track the Foundation budget and the Development Office college budget and provide data and analysis to prepare the budget.
Respond to ad hoc requests for information in Ivy Connect.
Work with Development Director on employee campaign.

Organize the resources necessary to produce development events, including the assistance of other college departments, venue, program, invitations, name tags, catering, technology, and day-of-event tasks.
Make travel arrangements, prepare travel requests and travel reimbursement and other expense reimbursement requests for development staff. Process incoming/outgoing mail. Hire and supervise intern or work-study student.
Receive calls for the Development Office and assist callers with necessary information.
Maintain inventories and order office supplies. Use Outlook and Microsoft Office to manage appointments, prepare letters, emails, and other communications and activities. Use Workday to pay invoices.
Respond to requests from Executive Director to schedule meetings, respond to emails, prepare meeting materials, and other supporting activities.
Perform all of the functions required of the development office for scholarship administration.
Assists with Alumni Association. Recommends and designs new stewardship opportunities and vehicles.
Performs analysis of data to recommend next steps for cultivation and stewardship (e.g. identifying donors who meet specific follow up).
Other duties as assigned.
Assist visitors and provide general College information. Refer specific inquiries to faculty and staff and direct visitors to appropriate offices.
Responsible for notifying police, fire departments, security personnel and College facilities staff of emergency situations, including inappropriate persons in the building, while being cognizant of his/her personal safety. Follow-up with supervisor regarding occurrences and actions taken.
Coordinate on campus events for the Development Office including room reservations, food requests, invitations, and meeting materials.
Maintain and update office files, developing and revising filing system as needed to keep current and accurate records. Monitor office to maintain copier and printer paper, and office supplies.
