About the Role:
We are seeking a highly skilled and student-centered Academic Advisor to join our School of Advanced Manufacturing, Engineering and Applied Science team. In this role, you will provide developmental academic advising for new and continuing students using a case management approach. You will assist students in defining personal and academic career goals, interpreting and understanding placement scores, program curriculum and pre-requisites, and developing basic skills to register for courses, as appropriate. The Academic Advisor will refer students to appropriate internal and external resources that foster student success.

Minimum Qualifications:

  • Bachelor's degree in education, psychology, counseling, social work, or related fields. Master's preferred.

  • Minimum of three (3) years of experience in academic advising, admissions, career counseling or related higher education area is required or one (1) year of experience with a Master's degree.

  • Experience working with and being committed to diverse communities is required.

  • Excellent communication and time management skills, as well as the ability to demonstrate initiative and working in a team environment is required.

BASIC FUNCTION
The Accounts Payable Specialist performs a variety of accounting, accounts payable, purchasing, and administrative support functions for the Business Office. This position is responsible for ensuring timely and accurate processing of invoices, reimbursements, purchase requisitions, and payment requests while maintaining compliance with Ivy Tech policies, grant requirements, and established internal controls.

This role serves as a key point of contact for employees, vendors, and external partners regarding purchasing and payment-related inquiries and provides support to other business office functions as needed.

RESPONSIBILITIES

  • Process accounts payable transactions including invoices, payment requests, purchase orders, requisitions, expense reimbursements, and other disbursement-related documentation in accordance with established policies and deadlines.
  • Review invoices and supporting documentation for accuracy, completeness, proper approvals, account coding, and compliance with College purchasing policies and procedures.
  • Ensure all expenditures are properly authorized and supported by required documentation prior to payment processing.
  • Perform compliance review of purchasing activities to ensure adherence to institutional procurement policies, grant restrictions, budget limitations, and internal control requirements.
  • Assist faculty and staff with purchase requisitions, purchasing procedures, vendor setup, and payment-related questions.
  • Monitor and verify open commitment reports to ensure outstanding purchase orders and encumbrances are reviewed, reconciled, and resolved in a timely manner.
  • Process employee travel requests, travel authorizations, and expense reimbursements while ensuring compliance with college travel policies and IRS guidelines.
  • Support grant accounting activities by tracking expenditures, reviewing grant-related purchases for allowability, and maintaining documentation required for audits and reporting.
  • Maintain accurate financial records and documentation in accordance with record retention requirements and audit standards.
  • Assist with month-end and year-end closing activities, including reconciliations, accrual support, and reporting as requested.
  • Coordinate and maintain fixed asset records, including tracking purchases, tagging assets, inventory support, and ensuring proper capitalization in accordance with College policies.
  • Research and resolve invoice discrepancies, vendor issues, payment delays, and account variances in a timely and professional manner.
  • Communicate effectively with vendors and internal departments to ensure prompt resolution of payment and purchasing concerns.

Minimum Qualifications

• High school diploma or equivalent required.

Preferred Qualifications

• Associate degree in accounting, business, finance, or related field preferred.

About the Role:

Provide quality and engaging instruction in all delivery methods and formats within biotechnology and biopharmaceutical programs; provide timely and meaningful feedback to students regarding the mastery of course and program learning outcomes; engage students outside of class in support of the curriculum and cocurriculum; provide institutional support and community service; participate meaningfully in student retention and completion initiatives; support the College’s mission and strategic plan initiatives; conform to campus expectations of faculty performance and engagement. Work closely with all teams in support of the Lilly Scholars program.

MAJOR RESPONSIBILITIES:

I. INSTRUCTION

1. Deliver assigned classes using pedagogy and technology that best support student learning, and in accordance with college loading policy, course objectives and program learning outcomes.

2. Develop and maintain curriculum and supporting course materials in keeping with and furtherance of course objectives and program learning outcomes.

3. Maintain student records, attendance, grades, and other documentation as required. Manage a classroom environment conducive to student learning and in adherence to federal, state, and college safety standards and practices.

4. Facilitate student achievement of expected program learning outcomes.

5. Use Learning Management System (e.g. Canvas) to facilitate teaching, learning, assessment and communication.

6. Work with project directors and teams in support of the Lilly Scholars program ensuring labs are appropriately outfitted and programs are fully staffed.

7. Maintain labs ensuring equipment is functioning and safe for student learning activities.

8. Develop student learning activities and exercises pursuant to future careers in biotechnology and biopharmaceutical manufacturing.

9. Assist in recruiting students to the biotechnology and biopharmaceutical programs and the Lilly Scholars program.

10. In collaboration with Lilly project directors assess equipment and program outcomes to support labs and curriculum upgrades and modification ensuring industry alignment.

11. Participate in statewide curriculum committee meetings standardizing curriculum and labs.

12. Work with dual credit and dual enrollment partners and internal K14 staff supporting labs, curriculum, student recruitment, and secondary faculty credentialing.

13. Conduct summer workshops to credential faculty.

14. Participate in “Discovery Days” at local employers to recruit students into industry.

15. Other duties as assigned.

II. RETENTION AND STUDENT SUCCESS

1. Provide academic-related coaching and academic monitoring to assigned student advisees in partnership with professional academic advising staff.

2. Monitor and document student performance throughout the semester, including use of technology for academic advising alerts; provide necessary interventions to include communication with students, tutoring and other academic supports, and referrals to appropriate college resources.

3. Maintain posted office hours and student engagement hours in accordance with campus expectations and the faculty loading policy in the Academic Support and Operations Manual (ASOM 7.2).

4. Promote and assist in student recruitment, retention, and successful completion of programs, including outreach to students by phone, technology tools, and other electronic means.

III. PROFESSIONAL DEVELOPMENT

1. Participate in professional development activities that may include scheduled training, time spent onsite in related business and industries, and self-study to advance instructional and technical skills as well as current knowledge within the field of study.

2. Participate in scholarly activities related to the discipline/focus, in fulfillment of annual performance plans, and as required for certification and licensure.

3. Stay current in contemporary pedagogy, digital technology, and other technology related to teaching that best support student learning.

4. Stay current in technology and trends related to biotechnology and biopharmaceutical manufacturing.

5. Stay current and participate in automation and system integration technology as related to biopharmaceutical manufacturing.

6. Frequent visits to local manufacturing facilities and participation in externships to support industry alignment.

IV. COMMUNITY RELATIONS AND BUSINESS OUTREACH

1. Participate in community service activities on behalf of the college to advance the college’s relationships within its service area as appropriate for department/division/college.

EDUCATION AND EXPERIENCE:

MINIMUM QUALIFICATIONS: Must have strong working knowledge of current technologies appropriate to area of instruction, faculty credentials as outlined in the ASOM 7.1 as applicable to the specific area of instruction.

Biotechnology Program Standard

A qualified faculty member in biotechnology meets all three of the following criteria:

  • Possesses an earned master’s or higher degree, from a regionally accredited institution, in biology, chemistry, biochemistry, biotechnology, microbiology, or a related field; and
  • Completed 18 graduate semester hours in cell biology, biochemistry, molecular biology, biotechnology, and/or microbiology; and
  • Has two or more years of experience in the field.

BIOT 100,101, 102, and 103 Course Standard:

A qualified faculty member teaching BIOT 101, 102, and/or 103 meets the biotechnology program standard or both of the following criteria:

  • Possesses an earned bachelor’s or higher degree, from a regionally accredited institution, in life sciences or chemistry, and
  • Has 5 or more years relevant industry experience as a scientist, production manager or equivalent position,

or

  • Possesses an earned bachelor’s or higher degree, from a regionally accredited institution, in life sciences or chemistry, and
  • Has appropriate professional certification in the field. Certification can be obtained by completing a faculty credentialing workshop hosted by Ivy Tech. Ivy Tech faculty leading/instructing the workshop must have taught the course for Ivy Tech at least three times prior to running such a workshop.
  • Has two or more years of experience in the field.

BIOT 104 Course Standard:

A qualified faculty member teaching BIOT 104 meets one of the following criteria:

  • Holds up-to-date American Society for Quality certifications: Certified Quality Improvement Associate and Certified Quality Process Analyst, and
  • Meets the Biotechnology program standard.

or

  • Holds up-to-date American Society for Quality certifications: Certified Quality Improvement Associate and Certified Quality Process Analyst, and
  • Possesses an earned bachelor’s or higher degree from a regionally accredited institution, and
  • Has 5 or more years relevant industry experience in quality in the biotechnology industry.

BIOT 105 Course Standard:

A qualified faculty member teaching BIOT 105 meets one of the following criteria:

  • Process applications for new  Building Trade apprentices and journeypersons.

The Apprenticeship Program Coordinator will assist the Apprenticeship Development Manager and Vice Chancellor of Workforce Development in the internal day-to-day operation of the relationship between current employer partners and their apprentices or Achieve Your Degree (AYD) students within the Kokomo service areas.     Executive Office Coordinator

    General Purpose: The Executive Office Coordinator provides executive-level administrative and operational support to the Hamilton County Campus Chancellor, ensuring the effective operations of the Chancellor’s office.     Major Responsibilities:

    Chancellor Support

    • Serve as a trusted member of the Chancellor’s leadership team.

    • During the Chancellor’s absence, use initiative and judgement to take action or refer matters requiring attention are handled in a manner that minimizes the effect of the absence.

    Communication and Relationship Management

    • Oversee communications from the Office of the Chancellor: assess and evaluate documents and requests to determine routing or response; prepare and distribute communication from the Chancellor to internal and external constituents.

    • Prepare documents, slides, and reports as assigned by the Chancellor.

    • Maintain up-to-date contact list for the Office of the Chancellor.

    Board and Leadership Support

    • Act as a liaison to the board for the Chancellor’s cabinet.

    • Prepare bi-monthly board meeting to include preparing slides, documents, and agendas; schedule meetings; prepare meeting rooms; and ensure required announcements are posted.

    • Maintain accurate contact information for the campus board.

    Development and Marketing Support

    • Assist Development and Marketing with events, to include ordering food and supplies, reserving rooms, set-up, and tear down.       

    Administrative Support for Both Offices

    • Coordinate the Chancellor’s and the EDDM’s schedule, to include meeting preparations and pre-meeting briefings and completion of travel arrangements, reservations, registrations, and other forms.

    • Process Chancellor’s office and Development and Marketing purchase requisitions and track invoices and payments for the Chancellor and EDDM.

    • In collaboration with other administrative staff, maintain a welcoming and consistent presence in the administrative office suite: know and communicate important functions occurring on campus, coordinate office presence, cross-train to provide back-up, distribution of mail, and welcoming guests who are meeting in the administrative office suite or board room.

    About the Role:

    Under the direction of the Program Chair of Nursing, performs duties in collaboration with faculty and simulation staff to prepare the nursing skills lab and simulation for students' use.

    MAJOR RESPONSIBILITIES:

    • Maintain assigned simulation and skills laboratories in support of instructional programs
    • Performs basic programming of simulators for practice scenarios as instructed by simulation staff
    • Assists simulation staff with scenarios and operation of simulators as needed
    • Assists with set up of simulators, equipment, and accessories as needed for special occasions
    • Inventories, stocks, and maintains supplies in HPS and skills laboratories
    • Maintains clean, well-equipped labs and facilitates a supportive student learning environment
    • Recommends and/or performs general cleaning and laundry in the nursing simulation laboratory and skills lab
