The College maintains a liability policy for property damage and bodily injury as well as uninsured motorist’s coverage on all its owned, hired, and rented vehicles when the driver is an approved driver on College business.  The College carries comprehensive coverage on vehicles from the last five model years as well as its State Leased Vehicles. College-owned vehicles that are older than five model years have collision coverage only.  Collision coverage is defined as colliding with another object, including overturn. Comprehensive coverage is defined as any cause of loss other than collision or overturn, including fire, vandalism, windshield break, etc.

Any employee who may be expected to drive a College-owned vehicle or drive a rental vehicle for business purposes related to Ivy Tech Community College of Indiana must complete a Driver Authorization Form at least 30 days prior to driving.  Details for completing this form is discussed more in Section IV, Claims Procedure.  This form and instructions can be obtained in your Regional Human Resources department or in the forms section of Infonet (http://infonet.ivytech.edu/college/forms.html) under “Driver Authorization”.  A list of approved drivers is kept on file at each region and is updated on a continuous basis since it is used for underwriting purposes.  Driver information is checked at the initial request for approval as well as annually.  Please contact The Executive Director of Benefits, Safety and Liability Insurances at Central Office for the person responsible for maintaining the list at your region.

The College should not transport students unless it is absolutely necessary.  Whenever it is necessary to transport students, students should only be transported by an authorized driver for the purpose of attending school activities in a College-owned, rented, or leased vehicle. A Commercial Driver’s License (CDL) is necessary to drive a vehicle designed to seat 16 or more persons, including the driver.  Ivy Tech Community College of Indiana should not rent a vehicle designed to seat 16 or more persons. Faculty and staff should NEVER transport students in their personal vehicle because any accident that may happen does not fall under the College’s auto policy.  In the event that an employee does transport students in their personal vehicle, liability will fall under the employee’s personal auto policy and a waiver must be signed by the employee.      

Students are not allowed to drive College-owned, rented, or leased vehicles.  If a student wishes to transport other students in their personal vehicle to a College-sponsored event, they must sign a waiver form that can be obtained through the Executive Director of Benefits, Safety, and Liability Insurances at Central Office.  Any accident that may occur when a student transports other students to a College-sponsored event is not covered under the College’s insurance.  Liability would fall under the student’s automobile policy.

Rented Vehicle Insurance

When an employee rents a vehicle for College business, he/she is covered under the College’s auto policy as long as the employee is an approved driver on the College’s policy.  This policy (endorsement) allows an employee to waive the insurance offered by the rental company.  Blanket ID cards are located in the regional business office for employees that want proof of coverage while driving a rental vehicle.

The College’s auto policy covers “loss of use” on (rental vehicles) to the rental car company at a maximum of $15 per day up to a maximum of $450.00.  This coverage applies if an accident occurs while an employee is driving a rented vehicle on College business.

The following exclusions are applicable to the Vehicle Insurance Policy:

  1. Any obligation for which Ivy Tech may be held liable under any Workers Compensation Law, Unemployment Compensation, or Disability Benefits Law.
  2. Employees personal vehicles are NOT covered under the College’s vehicle insurance.  Coverage falls under the employee’s vehicle policy.
  3. Property damage to property owned or being transferred by Ivy Tech Community College of Indiana.
  4. Property rented to or in the care, custody, or control of Ivy Tech Community College of Indiana or as to which Ivy Tech Community College of Indiana is, for any purpose, exercising control.
