Admission and Student Status
Which degree/certificates are eligible for financial aid?
Students must be enrolled in an approved degree and certificate program to be eligible for financial aid. Students who are Courses Only (degree status) are not eligible for financial aid. |
Am I required to have an official high school transcript on file?
Ivy Tech does not require high school/GED transcripts for most students. In most cases, students receiving financial aid will not have to submit high school transcripts. However, there are limited circumstances (such as in the case of Academic Competitiveness Grants or Veterans Affairs Benefits Programs) where we may need to collect transcripts. |
Do I have to be enrolled full-time to receive financial aid?
No, students are not required to attend full time, but most financial aid is prorated for students enrolled in fewer than 12 credit hours per semester. Some financial aid requires the student to be enrolled at least 6 credit hours, such as loans, some scholarships, work study, etc. |
I have a bachelor's degree. May I still apply for financial aid?
Students with bachelor's degrees may still apply for the Federal Work-Study Program, Federal Stafford Loan and Federal Unsubsidized Stafford Loan. These students will not be eligible for the Pell, Academic Competiveness and FSEOG grants. |
Financial Aid Application
How do I apply for financial aid?
Completing the Free Application for Federal Student Aid (FAFSA) is the first step in the financial aid process. The purpose of the FAFSA is to help the U.S. Department of Education and financial aid administrators determine your eligibility for federal and state aid. The State Student Assistance Commission of Indiana (SSACI) and Ivy Tech Community College also use the information received from the FAFSA to determine eligibility for other forms of financial aid. The quickest way to apply is online at fafsa.ed.gov. To request a paper application or complete the FAFSA over the phone, call 800-4-FED-AID. Once you've completed your FAFSA, a Student Aid Report (SAR) will be generated and you should receive a copy by email or mail. The colleges you list on your FAFSA receive your information after the application has been processed. There are many different kinds of financial aid. Some, such as loans, have to be repaid, while others, such as grants and scholarships, do not. For more information, visit www.ivytech.edu/financial-aid. |
I've heard about a PIN. What is it and what is it used for?
A PIN is an electronic access code number that serves as your identifier. A PIN lets you access your personal federal student aid information online in various U.S. Department of Education systems. If you apply using FAFSA on the Web, having a PIN allows you (and your parents, if they have a PIN and you're a dependent student) to "sign" your FAFSA electronically, which means the student aid process can be completed totally online. FAFSA on the Web filers who are new applicants (and their parents, if applicable) can request a PIN at www.pin.ed.gov. |
Do income tax returns need to be filed before completing the FAFSA?
It is a good idea to have completed the federal tax return before completing the FAFSA since exact tax information can make processing faster and simpler. If this cannot be done use estimated figures when completing the application. If the estimated figures differ from the actual figures make corrections on your Student Aid Report or contact your local financial aid office. |
What should I do if I do not have a copy of my tax return?
You can obtain a tax return transcript (summary of tax information) from an Internal Revenue Service Office or by calling 1-800-829-1040 |
Where do I find the federal school code for Ivy Tech Community College of Indiana?
Ivy Tech now uses a single school code (009917) regardless of which campus you attend or plan to attend. |
What if I lost my job or have other special circumstances?
The Office of Financial Aid can take into account special circumstances, which may affect your need. These may include loss of income due to layoff, disability, divorce, separation or loss of untaxed benefits. You can obtain a Special Circumstance Request Form from the Office of Financial Aid and submit it with supporting documentation. Please note that not all requests for special conditions are approved. |
You may go directly to fafsa.ed.gov for details on the receipt and processing of your form. Please log into your Campus Connect account (My Ivy Tech) to check your status or you may visit your local Financial Aid office. |
Where in the process is my financial aid?
You may check your Campus Connect account (My Ivy Tech) to check your status or you may contact your local Financial Aid office. |
Is there specific aid for those with physical disabilities?
Financial aid may be available through external sources. Please contact Vocational Rehabilitation with your personal situation |
Loans
You may have already heard but in case you have not, included with the passage of the Health Care bill were numerous changes to the student loan program. Among other things, the new law requires institutions to participate in the Direct Lending Program. Ivy Tech is not a direct lending institution at this time; we operate under what is known as the FFELP program. There are numerous discussions taking place at the federal level regarding the fate of the FFELP program and how schools would migrate to the direct lending program. What we really want you to know is that Ivy Tech will continue to offer financial aid loans to our students. The migration to direct lending will have little impact to you as a student. The biggest change will be the designation of your lender. Under direct lending, the Department of Education is the lender for all student loans and they decide who will service your loan. Otherwise, you will notice little change. The migration to direct lending might cause some minor issues for the processing of this summer's loans. At this time your financial aid office would not be able to provide any additional information. If you have applied for a summer loan, your financial aid office will contact you IF there is anything that you need to do. We will keep you informed as this process moves forward. |

After entering Indiana for the School State, choose IVY TECH COMMUNITY COLLEGE OF INDIANA - ALL CAMPUSES from the School Name drop down box. This school choice is correct for all Ivy Tech campuses and will display an Indianapolis address, do not be concerned that your campus address does not display. |
Do I have to fill out a special form to get loans for each semester?
Due to changes in Federal Regulations and the elimination of certain questions on the FASFA, we are forced to make changes in our process of identifying students who are interested in receiving federal financial aid loans. This change does not affect your eligibility; however, it changes the process you need to follow in order to apply for a loan:
Where do I complete Federal Student Loan Entrance Counseling?

You do not have to authorize your financial aid each semester. If you previously authorized your aid, you do not have to repeat the authorization steps. If you are a new student or first time financial aid student, you will need to authorize your aid. |
Accepting your Awards
What kind of financial aid is available?
There are many different kinds of financial aid. Some - such as loans - have to be repaid, while others - such as grants and scholarships - do not. For more information, visit www.ivytech.edu/financial-aid. |
How much financial aid can I receive?
This is generally based on "need." Financial need is the difference between your college expense and the amount of money you and, in some cases, your family are expected to contribute. Often you will be offered financial aid from more than one source. It may be a combination of gift dollars, a loan, and a part-time job. |
How does my financial aid pay for college?
When you register at Ivy Tech, financial aid may pay for all or a portion of your class fees, books and supplies. If there are dollars left over from the total amount of your financial aid, you will receive the money approximately seven weeks into the semester. If your financial aid does not cover all of your fees, then you are expected to make payment arrangements with the business/bursar office before classes start. Contact the business/bursar office for more information. |
What is the difference between a subsidized and an unsubsidized loan?
A subsidized loan is awarded on the basis of financial need. You won't be charged any interest before you begin repayment or during authorized periods of deferment). The federal government "subsidizes" the interest during these periods. An unsubsidized loan is not awarded on the basis of need. You'll be charged interest from the time the loan is disbursed until it is paid in full. If you allow the interest to accrue (accumulate) while you are in school or during other periods of nonpayment, it will be capitalized?that is, the interest will be added to the principal amount of your loan, and additional interest will be based on that higher amount. If your interest is capitalized, it will increase the amount you have to repay. You can choose to pay the interest as it accumulates; if so, you'll repay less in the long run. |
When will I find out about my loans?
You may check your Campus Connect account for your loan status or you may contact your local Financial Aid office. You may also track your loan process through www.studentloans.gov. |
Can I use my financial aid to purchase textbooks and supplies?
Yes, if your financial aid award is more than calculated tuition and fees. Please refer to the section that deals with authorizing my financial aid. |
Monitoring your Awards
When will I receive my loan money?
First time borrower Returning borrower |
Where do I check on my financial aid?
You can check on your financial aid by logging into Campus Connect. Click the more options link under the Financial Aid section of My Ivy Tech and then click the Step 5 Monitor your financial aid status link. The Financial Aid Status link allows you to view overall status, holds, academic progress, cost of attendance, financial aid awards and messages. |
Do my grades and attendance affect my financial aid?
Your eligibility for federal financial aid is based on the enrollment status at the end of the 100% refund period. If a student adds a class after the end of the 100% refund period, their federal and state aid will not increase and they may owe money for the added class(es). Attendance: Students must not only be "enrolled" but must actually be attending class. Students that never attend class or stop attending class without formally withdrawing will have their aid adjusted as required by the federal refund policy. If you receive financial aid, you must maintain standards of progress. That means that you must demonstrate satisfactory progress toward completion of your program within a specific time period, based on the number of hours you take each semester. Failing to meet the standards could have you terminated from receiving financial aid. |
Are there any academic requirements for receiving/continuing to receive financial aid?
Detailed information about the Ivy Tech's SAP policy can be found at www.ivytech.edu/financial-aid.

Refunds / Ivy Tech Debit Card / Higher One
Ivy Tech Community College has partnered with Higher One to offer faster delivery of financial aid and tuition refunds to students via the Ivy Tech Debit Card. Higher One is a financial services company dedicated to serving higher education institutions and their students, faculty and staff. Higher One can be contacted directly here.. |
When will I receive my Ivy Tech Debit Card?
Your Ivy Tech Debit Card will be sent to the primary mailing address on file with the College after you register for classes for the first time. You should receive it within 1-2 weeks. |
What is the Ivy Tech Debit card used for?
The card is the key to selecting the refund preference that best fits your needs. Refunds can be excess financial aid, student loans, or tuition on a canceled class that Ivy Tech will return to you. Even though you might not be expecting a refund, do not throw the card away…you may receive a refund in the future. |
How do I select my refund option?
Go to www.IvyTechDebitCard.com, enter your Ivy Tech Debit Card number and select your refund preference. |
A student may receive an error message when registering with Higher One if they provide any information that does not match our records exactly. Common mistakes when filling out the registration information include the Shared Secret which is supposed to be the last 4 digits of the student's Social Security Number. If the student did not provide Ivy Tech with his or her Social Security Number, it obviously could not be sent to Higher One. The student must contact the business/bursar office and ask them to change the shared secret on Higher One to any 4 numbers of the student's choosing. The student can then sign in to IvyTechDebitCard.com and use the new code as the shared secret. |
When should I expect my financial aid refund?
For the Spring 2012 semester, the earliest date that any refundable financial aid will be posted to your Ivy Tech Student Account is Monday, January 30, 2012. However, each student's situation is different based on numerous factors including Federal, State and College requirements, therefore, not every student's financial aid will be posted to their Ivy Tech Student Account on January 30, 2012. Per federal regulations, first time federal student loan borrowers are required to wait 30 days after the first day of class before student loan funds can be posted to his/her Campus Connect account. The College has 14 calendar days from the date financial aid is posted to your Ivy Tech Student Account to release any excess funds to you. Excess funds will show on your Ivy Tech Student Account as a negative balance. When your Student Account shows the word "Refund" then your funds have started the transmittal process to Higher One which takes 2 business days (excluding Saturdays, Sundays and banking holidays) to complete. Within the 14 day timeframe, your Campus Connect account will show the word "Refund". Your funds will then be sent to Higher One in 2 business days (excluding Saturdays, Sundays and Banking holidays). If you selected a refund option, Higher One releases the funds the same day they receive the money from the College.
For more information, please log in to Campus Connect and click the Ivy Tech Debit Card link or contact your local business/bursar office. |
Here's a summary of the refund process:
SPECIAL NOTE: Refunds for first-time loan borrowers take longer than returning students. Due to federal regulations, we cannot disburse refunds from loans for first time borrowers until 30 days after the semester starts. Other types of aid, such as grants, are not subject to the 30 day rule, only the loan disbursement is affected by the 30 day rule. The term ?first-time borrower? applies to students who have (a) never had a student loan at Ivy Tech or any college/university, and (b) students who are in their first year of undergraduate studies. |

After your account says "Refund" in Campus Connect, it takes 2 business days for Higher One to receive your funds. Then the waiting time depends on the refund option you selected: same day for OneAccount and 2-3 days for ACH direct deposit. |
What days do refunds get processed?
Both Ivy Tech and Higher One process refunds on business days (excluding holidays) which is normally Monday through Friday from 8am - 5pm. |
How do I know if I zeroed out?
When your account shows a negative balance in Campus Connect, that means you will receive a refund in that amount. Once that negative balance goes to zero and you see the word "Refund", that means your refund is being transmitted to Higher One. |
What is a disclosure statement and how do I find it?
The Disclosure Statement is sent to the borrower from the Direct Loan Origination Center. You can print a copy of the statement at StudentLoans.gov. It gives the borrower specific information about loan types including subsidized and unsubsidized (student loans) or Parent Loan for Undergraduate Students (PLUS), amounts and anticipated disbursement dates for each loan. For specific information regarding when the excess funds will be posted, please read When to Expect Your Refund. |

There is no standard order. The business/bursar office work as quickly as possible to get your refunds processed. |
Why is my loan being disbursed in two installments?
Federal Direct Student Loans must be disbursed in two installments – usually one in the Fall and one in the Spring. All Summer loans are disbursed in two installments during the Summer term. Additionally, all single term loans will be disbursed in two installments during that term. This rule applies to you if you are receiving loan funds for Fall only or Spring only. |
Why am I not getting my Frank O'Bannon grant money back?
This grant is awarded to Indiana residents by the State Student Assistance Commission of Indiana (SSACI) and can be used to pay tuition and the Technology fee only. Actual disbursement amounts can vary depending on your full time credit enrollment of 12 to 15 hours. These funds are non-refundable. You may receive the award for eight semesters, if you demonstrate financial need. You must reapply to SSACI for funds each year by submitting a Free Application for Federal Student Aid (FAFSA) no later than March 10. You must be working on your first undergraduate degree and enrolled in at least 12 credit hours each semester. State program guidelines require that you maintain full-time enrollment during the term 100 percent refund period. Less than full-time enrollment during the first four weeks will result in cancellation of the award. |
What's the phone number for Higher One Customer Service?
The number is 1-866-629-5570. |
Can I have my tax refund deposit to my Ivy Tech debit card?
You may definitely have your tax refund deposited to your Higher One checking account, which can then be accessed via your Ivy Tech debit card. The tax form requires 3 things: Your account number, the bank?s routing number and whether it is a checking or savings. If you sign on to Ivytechdebitcard.com, the first tab at the top is OneAccount. Click there and go down to the 2nd line: Recent Account Activity. In the middle of the screen are your checking account number and the bank?s routing number. Just remember to put on the tax form that this is a checking account (not savings). |
I just zeroed out. When do I get my money?
When your account balance in Campus Connect goes from a negative amount to zero then we have started transmitting your refund to Higher One which takes 2 business days to complete. |
How often do you zero out students?
All day long the campuses mark the student accounts for a refund. However, posting the actual "zero" in Campus Connect is part of a computer process job that is run nightly, Monday through Friday, usually after midnight. While occasionally a student will zero out during the day, that is a manual process which takes longer and does not get the funds to Higher One any earlier. |
It’s been more than 2 business days but Higher One doesn’t have my refund yet. Why?
Your refund may be delayed due to a bad address. Please check your address in Campus Connect. If it is wrong, contact the Business Office to alert them of your new address and they will also give your new address to Higher One. |
When does the 14 days start counting down?
The College has 14 calendar days from the date financial aid is posted to your Ivy Tech Student Account to release any excess funds to you. To see when your financial aid is posted to your account, log in to Campus Connect and click the "View Account" link under My Ivy Tech. On the next page you click the I accept button. Where do I find the “post date” for my grants or loans?
You should see that on the “Recent Activity” page in Campus Connect. |
The date on your disclosure statement is the date in which the government releases your loan information to Ivy Tech. Then we have processes we have to follow to verify that each student is still qualified for that loan, such as making sure the student is currently enrolled and attending classes, and we report back to the government. After that process is complete, we will post your loan in Campus Connect. Click the "View Account" link under My Ivy Tech. Next page you click the I accept button. Next will be a Quick View box and you'll see a Recent Activity link there. Your loan posting date will be there. We will have your refund to Higher One within 14 days of that post date. |
My class doesn’t start until later in the semester. Will that hold up my refund?
Loans must be disbursed in two equal payments within the loan period (your first day of class through your last day of class). If ALL classes are late start classes, the refund will not disburse until some time after the loan period begins. All other types of financial aid, such as scholarships and grants, are not based on your loan period, therefore, those refunds will be processed during the 4th week of the semester. |
How are first time borrowers different?
First time borrowers receive their loan refunds a little later than previous loan borrowers. We post first time borrowers’ loan refunds to Campus Connect starting 30 days after the start of the semester per federal regulations. |
We post first time borrowers’ loan refunds to Campus Connect starting 30 days after the start of the semester per federal regulations. Refunds from other types of financial aid, such as grants or scholarships, will begin posting to Campus Connect on January 30th. |
Why is my loan being disbursed in two installments?

Additionally, all single term loans will be disbursed in two installments during that term (this rule applies to you if you are receiving loan funds for Fall only or Spring only). |
The reason for disbursing financial aid refunds three weeks after the start of a semester is to prevent students who dropped classes, changed their enrollment status or withdrew, from owing funds back to the Department of Education. In many cases this could amount to thousands of dollars in liabilities to the individual student. |
